in the drop-down list and then click &#8220;<strong>Delete<\/strong>&#8220;.<\/li>\n\n\n\n<li>A message appears, asking to confirm the deletion. Click on &#8220;<strong>OK&#8221;<\/strong> or &#8220;<strong>To<\/strong><strong>be naught<\/strong>&#8220;.<\/li>\n\n\n\n<li>Once the document is deleted, a confirmation message appears.<\/li>\n<\/ul>\n\n<p><strong>Or:<\/strong><\/p>\n\n<ul class=\"wp-block-list\">\n<li>Click directly on the Actions <img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/03\/273356133.png\" width=\"30\"\/>button next to the document<\/li>\n\n\n\n<li>Click on &#8220;<strong>Edit<\/strong>&#8221; in the drop-down list and then click &#8220;<strong>Delete<\/strong>&#8220;.<\/li>\n<\/ul>\n\n<h1 class=\"wp-block-heading\" id=\"Actionssurledocument-G&#xE9;rerlesversions\">Manage Versions<\/h1>\n\n<p>This feature allows you to view the version history of a document and edit the current version.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356134-translated.jpg\" alt=\"\"\/><\/figure>\n\n<p>A list of the different versions of the document is displayed:<\/p>\n\n<p>.  <img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356135-translated.jpg\"\/><\/p>\n\n<ul class=\"wp-block-list\">\n<li>Choose the version you want to use as the current version<\/li>\n\n\n\n<li>Select it by checking it (version column)<\/li>\n\n\n\n<li>Click on &#8220;<strong>Use as current version<\/strong>&#8220;<\/li>\n<\/ul>\n\n<h1 class=\"wp-block-heading\" id=\"Actionssurledocument-Ajouteruneversion\">Add a version<\/h1>\n\n<p>This feature allows you to add a new version to a document.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356136-translated.jpg\" alt=\"\"\/><\/figure>\n\n<p>You can then choose a new file on your computer:<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356137-translated.jpg\" alt=\"\"\/><\/figure>\n\n<p>Once saved, this file will become the current version of the document.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356138-translated.jpg\" alt=\"\"\/><\/figure>\n\n<h1 class=\"wp-block-heading\" id=\"Actionssurledocument-Copier\">Copy<\/h1>\n\n<p><br\/>This feature provides the ability to make a copy of a document to a folder of your choice.<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Select the document,<\/li>\n\n\n\n<li>Click &#8220;<strong>Copy<\/strong>&#8221; from the drop-down list.<\/li>\n<\/ul>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/image-41-translated.png\" alt=\"\" class=\"wp-image-16397\"\/><\/figure>\n\n<ul class=\"wp-block-list\">\n<li>Choose the destination folder where you want to copy your document<\/li>\n\n\n\n<li>Click on &#8220;<strong>Copy<\/strong>&#8220;.<\/li>\n<\/ul>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356141-translated.jpg\" alt=\"\"\/><\/figure>\n\n<p>A confirmation message indicates that your document has been copied successfully.<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Actionssurledocument-D&#xE9;placer\">Move<\/h1>\n\n<p>This feature provides the ability to move a document to another folder of your choice.<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Select the document,<\/li>\n\n\n\n<li>Click &#8220;<strong>Move<\/strong>&#8221; from the drop-down list.<\/li>\n<\/ul>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/image-42-translated.png\" alt=\"\" class=\"wp-image-16398\"\/><\/figure>\n\n<ul class=\"wp-block-list\">\n<li>Choose the destination folder where you want to move your document.<\/li>\n\n\n\n<li>Click &#8220;<strong>Move<\/strong>&#8220;.<\/li>\n<\/ul>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356144-translated.jpg\" alt=\"\"\/><\/figure>\n\n<p>A confirmation message indicates that your document has been moved successfully.<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Actionssurledocument-Editer\">Edit<\/h1>\n\n<p>You can edit a document if you have read and edit permissions.<\/p>\n\n<p>To do this:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Position yourself on the document you want to edit.<\/li>\n\n\n\n<li>Click on &#8220;<strong>Edit<\/strong>&#8220;.<\/li>\n\n\n\n<li>Click on &#8220;<strong>Edit Properties<\/strong>&#8220;.<\/li>\n<\/ul>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/image-43-translated.png\" alt=\"\" class=\"wp-image-16399\"\/><\/figure>\n\n<p>Fill in the new name and click &#8220;<strong>Save<\/strong>&#8221; to complete the operation.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356146-translated.jpg\" alt=\"\"\/><\/figure>\n\n<p><strong>This function is also useful for modifying the indexes of a document as a result of an indexing error.<\/strong><\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Actionssurledocument-Editerenligne\">Edit online<\/h1>\n\n<p>This is only available for Microsoft Office documents.<\/p>\n\n<p>See: <a href=\"https:\/\/help.openbee.com\/en\/open-bee-portal\/user-guide\/documents\/microsoft-office-document-editing\/\">Editing a Microsoft Office Document<\/a><\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Actionssurledocument-Supprimer\">Delete<\/h1>\n\n<p>This feature allows the deletion of a document. A deleted document is moved to a global recycle bin and can be restored by an administrator.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/image-44-translated.png\" alt=\"\" class=\"wp-image-16400\"\/><\/figure>\n\n<p>A confirmation window appears. Click &#8220;<strong>OK&#8221;<\/strong> to confirm the deletion:<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Actionssurledocument-Ajouteruneliaison\">Add a Binding<\/h1>\n\n<p><br\/>The &#8221; <strong>Add Binding<\/strong> &#8221; function allows you to define links between documents.<\/p>\n\n<p>Indeed, it can be useful to link two or more documents together, especially if they deal with the same subject, but are stored in different places.<\/p>\n\n<p>To add a binding:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Select the document you want to link to another.<\/li>\n\n\n\n<li>Select &#8220;<strong>Add Binding<\/strong>&#8221; from the drop-down menu.<\/li>\n<\/ul>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/image-46-translated.png\" alt=\"\" class=\"wp-image-16402\"\/><\/figure>\n\n<p>If related documents are detected, they will be offered in the &#8220;<strong>Suggested Documents<\/strong>&#8221; section.<\/p>\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>To work, the automatic document suggestion must first be <a href=\"Liaisons-dynamiques_251920921.html\">set up by an administrator<\/a>.<\/p>\n<\/blockquote>\n\n<p>Example:<\/p>\n\n<p>A user wants to link an invoice in the amount of \u20ac100 issued by the company Open Bee\u2122.<\/p>\n\n<p>If a \u20ac100 purchase order from the Open Bee\u2122 company is archived in Open Bee\u2122 Portal, it will appear in the &#8220;Suggested Documents&#8221; section.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356153-translated.jpg\" alt=\"\"\/><\/figure>\n\n<p><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/03\/information.png\" alt=\"(info)\"\/>  Suggested documents can be viewed by clicking on the icon on the right side of the screen:<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356154-translated.jpg\" alt=\"\"\/><\/figure>\n\n<p>To link a document that has not been &#8220;suggested&#8221;, there are 3 options:<\/p>\n\n<ol class=\"wp-block-list\">\n<li>Navigate through your folder tree to select the document(s) you want to link your document to (by checking them)<img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356152-translated.jpg\"\/><\/li>\n\n\n\n<li>Use the document search. Click on the &#8221; <strong>Document Search<\/strong> &#8221; tab, choose the search criteria, then confirm<img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356155-translated.jpg\"\/><\/li>\n\n\n\n<li>Add a new document. Click on the &#8220;Add a document&#8221; tab, from which you will find the form for adding a <strong>document <\/strong>.<br\/>The added document will be automatically linked.<\/li>\n<\/ol>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356156-translated.jpg\" alt=\"\"\/><\/figure>\n\n<p><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/03\/information.png\" alt=\"(info)\"\/>  The paperclip icon is automatically displayed. This indicates that a link has been made to the document.<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Actionssurledocument-Verrouiller\">Lock<\/h1>\n\n<p>Sometimes it is necessary to make changes to a document contained in the Open Bee\u2122 Portal.<\/p>\n\n<p>In this case, it&#8217;s safer to lock the document to prevent other users from editing it at the same time.<\/p>\n\n<p>To lock a document, click &#8220;<strong>Lock<em>&#8220;<\/em> <\/strong>from the drop-down menu. To unlock it, click &#8220;<strong>Unlock&#8221; <\/strong>from the drop-down menu.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/image-47-translated.png\" alt=\"\" class=\"wp-image-16403\"\/><\/figure>\n\n<p>Confirm the action by clicking on &#8220;<strong>OK&#8221;<\/strong>:<\/p>\n\n<p>A confirmation message appears.<\/p>\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>The only users who can unlock a document are:<\/p>\n<cite>&#8211; The user who locked it<br>&#8211; An administrator<\/cite><\/blockquote>\n\n<p>On a locked document, the following actions are available only <strong>to the user who locked the document<\/strong> :<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Edit the document name and description<\/li>\n\n\n\n<li>Edit the document&#8217;s indexes<\/li>\n\n\n\n<li>Add a version<\/li>\n\n\n\n<li>Change version<\/li>\n\n\n\n<li>Download the document<\/li>\n\n\n\n<li>Delete document<\/li>\n<\/ul>\n\n<p>Other users can&#8217;t download or edit a locked document.<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Actionssurledocument-Cacherledocument\">Hide document<\/h1>\n\n<p>This feature allows you to hide documents or folders in Open Bee\u2122 Portal.<\/p>\n\n<p>These will no longer appear by default in the tree view and in searches.<\/p>\n\n<p>It is possible to display these items again at any time.<\/p>\n\n<p>To hide a document:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Choose your document<\/li>\n\n\n\n<li>Hover your cursor over &#8220;<strong>Actions<\/strong>&#8220;<\/li>\n\n\n\n<li>Click on &#8220;<strong>Advanced<\/strong>&#8220;<\/li>\n\n\n\n<li>Click on &#8220;<strong>Hide document&#8221;<\/strong><\/li>\n<\/ul>\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/image-48-translated.png\" alt=\"\" class=\"wp-image-16404\"\/><\/figure>\n\n<ul class=\"wp-block-list\">\n<li>Click on &#8220;<strong>Confirm<\/strong>&#8220;<\/li>\n<\/ul>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/05\/273356160-translated.png\" alt=\"\"\/><\/figure>\n\n<p>You can also hide the document as follows:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Select the document,<\/li>\n\n\n\n<li>Click on &#8220;<strong>Selected Actions<\/strong>&#8220;<\/li>\n\n\n\n<li>Click &#8220;<strong>Hide Selected Items<\/strong>&#8221;
