{"id":20444,"date":"2024-02-19T12:29:22","date_gmt":"2024-02-19T11:29:22","guid":{"rendered":"https:\/\/help.openbee.com\/open-bee-portal\/administrators-guide\/general-setup\/enable-viewing-or-editing-with-office-for-the-web\/"},"modified":"2024-06-07T12:38:14","modified_gmt":"2024-06-07T10:38:14","slug":"enable-viewing-or-editing-with-office-for-the-web","status":"publish","type":"page","link":"https:\/\/help.openbee.com\/en\/open-bee-portal\/administrators-guide\/general-setup\/enable-viewing-or-editing-with-office-for-the-web\/","title":{"rendered":"Enable viewing or editing with Office for the web"},"content":{"rendered":"<div id=\"main-content\" class=\"wiki-content group\">\n<p>Open Bee\u2122 Portal&nbsp;allows you to store all types of documents, including Office documents.<\/p>\n<p>These documents can be viewed and edited using the online Office editor.<\/p>\n<p>Enabling this configuration is described in the paragraphs below.<\/p>\n<div class=\"aui-message problem shadowed information-macro\">\n<p class=\"title\">Online Office Restriction<\/p>\n<div class=\"message-content\">\n<p>To use both the online reader and the online Office editor, Open Bee\u2122 Portal must be accessible on the Internet.<\/p>\n<p>That is to say, either use an Open Bee\u2122 Portal Cloud or on-premise version version that can be accessed outside its local network.<\/p>\n<\/div>\n<\/div>\n<div class=\"aui-message warning shadowed information-macro\">\n<p class=\"title\">Office Online Privacy<\/p>\n<div class=\"message-content\">\n<p>When using the online Office Reader or Editor, document data temporarily travels to Microsoft&#8217;s servers but is not permanently stored on those servers.<\/p>\n<\/div>\n<\/div>\n<h1 id=\"Activerlavisualisationoul'\u00e9ditionavecOfficepourleweb-LecteurOfficeenligne\"><span style=\"color: #000000;\">Online Office Reader<\/span><\/h1>\n<p>Office documents can be viewed directly from&nbsp;the Open Bee\u2122 Portal&nbsp;in two different ways:<\/p>\n<ul>\n<li>Or from the Open Bee\u2122 Portal document&nbsp;reader. This reader uses a PDF conversion of the document, which can in some cases cause problems with the display of documents<\/li>\n<li>Or from the online Office player<\/li>\n<\/ul>\n<p><span style=\"color: #000000;\">&nbsp;<\/span><\/p>\n<p><span style=\"color: #000000;\">The activation of the online Office reader must be set up in the general configuration menu, via the &#8220;Preview of Office documents&#8221; option.<\/span><\/p>\n<p><span style=\"color: #000000;\"><img decoding=\"async\" class=\"confluence-embedded-image\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/281542685-translated.png\" width=\"800\" data-image-src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/281542685-translated.png\"><\/span><\/p>\n<p><span style=\"color: #000000;\">This configuration allows Excel, Word and PowerPoint documents stored in the Open Bee\u2122 Portal to be displayed from the online Office drive.<\/span><\/p>\n<p><span style=\"color: #000000;\">This reader allows you to have a more faithful rendering of the document than the Open Bee\u2122 Portal reader&nbsp;.<\/span><\/p>\n<p><span style=\"color: #000000;\">Once enabled, all users will have this drive for Office documents.<\/span><\/p>\n<div class=\"aui-message hint shadowed information-macro\">\n<p class=\"title\">PDF Previews<\/p>\n<div class=\"message-content\">\n<p>Switching to the &#8220;Online Office Reader&#8221; mode deletes the PDF previews generated by OCS.<\/p>\n<p>If you want to switch back to the Open Bee\u2122 Portal player after activating this configuration, you will have to manually regenerate each preview.<\/p>\n<\/div>\n<\/div>\n<div class=\"aui-message hint shadowed information-macro\">\n<p class=\"title\">Office 365 account<\/p>\n<div class=\"message-content\">\n<p><span style=\"color: #000000;\">The Document Reader does not require an Office 365 account to be used.<\/span><\/p>\n<\/div>\n<\/div>\n<h4 id=\"Activerlavisualisationoul'\u00e9ditionavecOfficepourleweb-Limitationsli\u00e9esaulecteurOfficeenligne\"><span style=\"color: #000000;\">Online Office Drive Limitations<\/span><\/h4>\n<p><span style=\"color: #000000;\">The online Office Reader brings many improvements, but there are two limitations compared to the Open Bee\u2122 Portal Player&nbsp;:<\/span><\/p>\n<ul style=\"list-style-type: square;\">\n<li><span style=\"color: #000000;\"><u>Mobile<\/u> app: Office documents will no longer be able to be opened directly from the Open Bee\u2122 mobile&nbsp;app.&nbsp;<\/span><br \/>\n<span style=\"color: #000000;\">You will need to use a third-party application such as Microsoft Office to view these types of documents.<\/span><\/li>\n<li><span style=\"color: #000000;\"><u>Watermark<\/u> : If the watermark is used, it will not be affixed to Office documents and it will not be possible to download an Office document where the watermark should be affixed.<\/span><br \/>\n<span style=\"color: #000000;\">This limitation only applies to Office documents, including no impact on PDF documents.<\/span><\/li>\n<\/ul>\n<p><span style=\"color: #000000;\">&nbsp;<\/span><\/p>\n<h1 id=\"Activerlavisualisationoul'\u00e9ditionavecOfficepourleweb-EditionOfficeenligne\"><span style=\"color: #000000;\">Online Office Edition<\/span><\/h1>\n<p>As with viewing documents, there are two ways to edit Office documents:<\/p>\n<ul style=\"list-style-type: square;\">\n<li>With Office (Word, Excel or PowerPoint) installed on your workstation<\/li>\n<li>Or with the online version of Office that doesn&#8217;t require you to have Office installed on your computer<\/li>\n<\/ul>\n<p><span style=\"color: #000000;\">This configuration is to be done in the general configuration.<\/span><\/p>\n<p><span style=\"color: #000000;\"><img decoding=\"async\" class=\"confluence-embedded-image\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/281542686-translated-1.png\" width=\"800\" data-image-src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/281542686-translated-1.png\"><\/span><\/p>\n<p><span style=\"color: #000000;\">&nbsp;<\/span><\/p>\n<div class=\"aui-message hint shadowed information-macro\">\n<p class=\"title\">Office 365 account<\/p>\n<div class=\"message-content\">\n<p><span style=\"color: #000000;\">A Microsoft Enterprise account with a license to insert changes into Office Online is required to use the built-in Office&nbsp;Online Editor with Open Bee\u2122 Portal.<\/span><\/p>\n<\/div>\n<\/div>\n<h4 id=\"Activerlavisualisationoul'\u00e9ditionavecOfficepourleweb-Cr\u00e9ationd'unenouvelleversion(Officeenligne)\">Creating a new version (Office Online)<\/h4>\n<p>The Office Online Editor saves changes to Office documents very frequently.<\/p>\n<p>In order not to take up too much storage space, a parameter allows you to set a time interval for the creation of a new version.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"confluence-embedded-image\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/281542707-translated.png\" width=\"800\" height=\"42\" data-image-src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/281542707-translated.png\"><\/p>\n<div class=\"aui-message hint shadowed information-macro\">\n<p class=\"title\">Example<\/p>\n<div class=\"message-content\">\n<p>If this option is set to 60 minutes, and a user edits an Office document between 16:00 and 17:30, a version will be created in&nbsp;Open Bee\u2122 Portal&nbsp;for changes made between 16:00 and 17:00 and a second version will be created for changes between 17:00 and 17:30.<\/p>\n<\/div>\n<\/div>\n<\/div>\n","protected":false},"excerpt":{"rendered":"<p>Open Bee\u2122 Portal&nbsp;allows you to store all types of documents, including Office documents.
