{"id":20458,"date":"2022-08-24T16:49:43","date_gmt":"2022-08-24T14:49:43","guid":{"rendered":"https:\/\/help.openbee.com\/open-bee-portal\/administrators-guide\/ranking-rules\/restrict-classification-to-certain-file-formats\/"},"modified":"2026-05-13T10:47:51","modified_gmt":"2026-05-13T08:47:51","slug":"restrict-classification-to-certain-file-formats","status":"publish","type":"page","link":"https:\/\/help.openbee.com\/en\/open-bee-portal\/administrators-guide\/ranking-rules\/restrict-classification-to-certain-file-formats\/","title":{"rendered":"Restrict classification to certain file formats"},"content":{"rendered":"\n<p>Since version 6.13.0 of Open Bee Portal, it is possible to restrict the use of a classification rule to a certain type of document in order to avoid user errors.<\/p>\n\n<p>This is because some actions or workflows may require the document to be added in a specific format.<\/p>\n\n<p><\/p>\n\n<h2 class=\"wp-block-heading\"><strong>Configuration<\/strong><\/h2>\n\n<p>At the ranking rule level, it is now possible to activate this option.<\/p>\n\n<p>Restricting classification to file formats is tantamount to allowing classification only to those formats. The restriction can only apply to certain groups or users.<\/p>\n\n<p>If a user is assigned multiple restrictions, then they will be able to categorize all documents that comply with those restrictions.<\/p>\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/image-94-translated-1024x739.png\" alt=\"\" class=\"wp-image-13611\"\/><\/figure>\n\n<p>Users in the <em>Customer Service<\/em> group will only be able to file documents in &#8221; <em>DOCX&#8221;<\/em> format with the Insurance rule.<\/p>\n\n<p>Users in the <em>Administrators<\/em> group will only be able to file documents in &#8221; <em>DOCX<\/em> &#8221; and &#8221; <em>PDF&#8221;<\/em> format with the Insurance rule.<\/p>\n\n<p>The <em>Admin<\/em> user who is also a member of the <em>Administrators<\/em> group will only be able to file documents in &#8220;<em>DOCX&#8221;,<\/em> &#8220;<em>PDF<\/em>&#8221; and &#8220;<em>ZIP&#8221;<\/em> format<\/p>\n\n<p>A user who does not belong to any of these groups will be able to classify any document format.<\/p>\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>It is possible to add a restriction to all Open Bee Portal users using the &#8220;<em>Everyone&#8221;<\/em> placeholder group<\/p>\n<\/blockquote>\n\n<p><\/p>\n\n<h2 class=\"wp-block-heading\"><strong>Application of the restriction<\/strong><\/h2>\n\n<p>This restriction is verified and enforced in the following ways:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Adding a document to the Open Bee Portal from the WEB application, Mobile or via Web Services<\/li>\n\n\n\n<li>Adding a new version of the document  <\/li>\n\n\n\n<li>Changing a document&#8217;s classification rule to a classification rule containing a restriction<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Since version 6.13.0 of Open Bee Portal, it is possible to restrict the use of a classification rule to a certain type of document in order to avoid user errors.
