If this box is unchecked, then the metadata may be left blank during the ranking.<\/p>\n<p>Choose the type of metadata you want to create from the drop-down list:<\/p>\n<p><img decoding=\"async\" class=\"confluence-embedded-image\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/273356068-translated.png\" width=\"350\" data-image-src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/273356068-translated.png\"><\/p>\n<p>If &#8220;<strong>List<\/strong>&#8221; is selected as the metadata type, choose:<\/p>\n<ul>\n<li>  Or an existing list in the menu<\/li>\n<li>  Either create a new list and add values of your choice<\/li>\n<\/ul>\n<p><img decoding=\"async\" class=\"confluence-embedded-image\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/273356069-translated.png\" data-image-src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/273356069-translated.png\"><\/p>\n<p>If Type &#8220;<strong>Group and Users<\/strong>&#8221;<\/p>\n<div class=\"aui-message hint shadowed information-macro\"><span class=\"aui-icon icon-hint\">Icon<\/span><\/p>\n<div class=\"message-content\">\n<p>This &#8220;Group &amp; Users&#8221; metadata type allows you to use groups and\/or users as metadata values for a document.<\/p>\n<\/div>\n<\/div>\n<p>To access this feature:<\/p>\n<ul>\n<li>Click on <strong>Ranking Rule<\/strong><\/li>\n<li>Click<strong> Add Metadata<\/strong><\/li>\n<li>Click on<strong> List <\/strong> <\/li>\n<li>Select<strong> the &#8220;Users &amp; Groups&#8221;<\/strong> metadata<\/li>\n<\/ul>\n<p><img decoding=\"async\" class=\"confluence-embedded-image\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/273356070-translated.png\" data-image-src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/273356070-translated.png\"><\/p>\n<div class=\"aui-message hint shadowed information-macro\"><span class=\"aui-icon icon-hint\">Icon<\/span><\/p>\n<div class=\"message-content\">\n<p>It is possible to import lists from external databases.  <a href=\"https:\/\/help.openbee.com\/en\/open-bee-portal\/administrators-guide\/sql-connectivity-module\/sql-queries\/self-populated-list\/\">See the how-to guide on this topic for more details.<\/a><\/p>\n<\/div>\n<\/div>\n<p>The &#8220;Multiple&#8221; checkbox allows you to enter multiple values in the same metadata.<\/p>\n<p>For example, a &#8220;Packing slip&#8221; metadata may store multiple packing slip numbers if the &#8220;Multiple&#8221; checkbox is checked.<\/p>\n<p>Repeat this operation as many times as metadata needs to be created.<\/p>\n<p>You can then edit your ranking rule to define the associated dynamic tree.<\/p>\n<p><strong>Default value<\/strong><\/p>\n<p>Since version 6.11.4 of Open Bee\u2122 Portal, it is possible to enter a default value to a metadata.<\/p>\n<p>This default value is used to auto-populate the metadata when ranking from the Open Bee\u2122 Portal ranking interface.<\/p>\n<div class=\"aui-message warning shadowed information-macro\">\n<div class=\"message-content\">\n<p>If no value is entered in the metadata, the metadata is not automatically replaced with the default value.<\/p>\n<p>This implies that the absence of a value passed during a Web Service call will populate a null value and not the default value.
