It is an add-on software component to Open Bee\u2122 Portal.<\/p>\n<p style=\"margin-left: 0.0cm;\">\n<p style=\"margin-left: 0.0cm;\">This service allows:<\/p>\n<ul style=\"list-style-type: square;\">\n<li>Text extraction ( <a class=\"external-link\" href=\"http:\/\/fr.wikipedia.org\/wiki\/Reconnaissance_optique_de_caract%C3%A8res\" rel=\"nofollow\">OCR<\/a> processing) of scanned and archived documents in Open Bee\u2122 Portal, as well as their conversion into PDF\/A format<\/li>\n<li>Office document conversion to allow preview in Open Bee\u2122 Portal<\/li>\n<li>the creation of thumbnails of archived images in Open Bee\u2122 Portal in order to allow them to be displayed in an optimized way on the web<\/li>\n<\/ul>\n<p>A section of the administration allows you to set up and monitor the interactions between Open Bee Portal and Open Bee\u2122\u2122 Scan OCS.<\/p>\n<p>Click on &#8220;<strong>Administration<\/strong>&#8221; &#8220;<strong>Open Bee\u2122 Scan OCS&#8221;.<\/strong><\/p>\n<style type=\"text\/css\"><![CDATA[\/*<![CDATA[*\/ div.rbtoc1648215959474 {padding: 0px;} div.rbtoc1648215959474 ul {list-style: disc;margin-left: 0px;} div.rbtoc1648215959474 li {margin-left: 0px;padding-left: 0px;} \/*]]]]><![CDATA[>*\/]]><\/style>\n<div class=\"toc-macro rbtoc1648215959474\">\n<ul class=\"toc-indentation\">\n<li><a href=\"#OpenBee%E2%84%A2ScanO.C.S-Fonctionnement\">Operation <\/a><\/li>\n<li><a href=\"#OpenBee%E2%84%A2ScanO.C.S-Param%C3%A8tresdecommunication\">Communication Settings<\/a><\/li>\n<li><a href=\"#OpenBee%E2%84%A2ScanO.C.S-Suivides%C3%A9changes\">Follow-up of exchanges<\/a><\/li>\n<\/ul>\n<\/div>\n<h1 id=\"OpenBee\u2122ScanO.C.S-Fonctionnement\">Operation<\/h1>\n<p>Documents archived in Open Bee Portal that require processing by Open Bee Scan OCS are automatically and asynchronously transmitted to Open Bee\u2122\u2122\u2122 Scan OCS. The processing result is also fed back into the Open Bee\u2122 Portal asynchronously and seamlessly. <\/p>\n<h1 id=\"OpenBee\u2122ScanO.C.S-Param\u00e8tresdecommunication\">Communication Settings<\/h1>\n<p><img decoding=\"async\" class=\"confluence-embedded-image\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/273356360-translated.jpg\" data-image-src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/273356360-translated.jpg\"><\/p>\n<p>This form allows you to:<\/p>\n<ul style=\"list-style-type: square;\">\n<li>whether or not to enable document processing by O.C.S<\/li>\n<li>configure the address of the O.C.S. service (It is pre-filled by default. In the case of a &#8220;Cloud&#8221; installation, it cannot be modified).<\/li>\n<li>choose the format of the documents (Pdf, Tiff, doc, xls, etc.) on which to apply a conversion of the document to PDF\/A<\/li>\n<li>The policy for reinstating documents converted to PDF\/A:\n<ul style=\"list-style-type: square;\">\n<li>or the replacement of the original document<\/li>\n<li>or the creation of a new version of the document<\/li>\n<\/ul>\n<\/li>\n<li>  choose the language used, this reduces the OCR processing time and optimizes the result<\/li>\n<\/ul>\n<\/div>\n<p>As of version 6.13.1 of the Open Bee\u2122 Portal, it is possible not to add a new version on documents containing an electronic seal or an electronic signature if this reinstatement policy is selected. Indeed, the addition of a version will modify the original document and the stamp or signature will no longer be valid.<\/p>\n<p>Please note that it is only possible to exclude documents containing a stamp or signature affixed by Open Bee\u2122 Portal<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-14158 size-large\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/office-translated-1024x374.png\" alt=\"\" width=\"1024\" height=\"374\"><\/p>\n<div id=\"main-content\" class=\"wiki-content group\">\n<h1 id=\"OpenBee\u2122ScanO.C.S-Suivides\u00e9changes\">Follow-up of exchanges<\/h1>\n<p><img decoding=\"async\" class=\"confluence-embedded-image\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/273356361-translated.jpg\" data-image-src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/273356361-translated.jpg\"><\/p>\n<p>This section allows you to view documents awaiting processing by OCS.<\/p>\n<p>The columns in the table are:<\/p>\n<ul style=\"list-style-type: square;\">\n<li><strong>Document Name<\/strong> : The name of the document being processed<\/li>\n<li><strong>Version<\/strong> ID: The version ID of the document in Open Bee\u2122 Portal<\/li>\n<li><strong>Server ID<\/strong>: The identifier in the Open Bee\u2122 Portal of the document. If this column is not empty, it means that the document is being processed by Open Bee\u2122 Portal<\/li>\n<li><strong>OCR: OCR<\/strong> processing status on the document if applicable<\/li>\n<li><strong>PDF <\/strong>: PDF conversion status of the document if applicable<\/li>\n<li><strong>Thumbnail<\/strong> : Status of creating document image thumbnails if applicable<\/li>\n<\/ul>\n<p>Via the menu, the following operations are possible:<\/p>\n<p><img decoding=\"async\" class=\"confluence-embedded-image\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/273356362-translated.jpg\" data-image-src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2026\/03\/273356362-translated.jpg\"><\/p>\n<ul style=\"list-style-type: square;\">\n<li>Update the list of documents to be processed by the O. C.S<\/li>\n<li>Restart processing the selected documents.
