{"id":21005,"date":"2022-04-11T13:55:44","date_gmt":"2022-04-11T11:55:44","guid":{"rendered":"https:\/\/help.openbee.com\/open-bee-scan-capture\/administrators-guide\/accounting\/batch-management\/"},"modified":"2026-05-13T09:35:52","modified_gmt":"2026-05-13T07:35:52","slug":"batch-management","status":"publish","type":"page","link":"https:\/\/help.openbee.com\/en\/open-bee-scan-capture\/administrators-guide\/accounting\/batch-management\/","title":{"rendered":"Batch Management"},"content":{"rendered":"\n<h1 class=\"wp-block-heading\" id=\"Gestiondeslots-General\">General<\/h1>\n\n<p>Welcome to the batch management part of Open Bee\u2122 Scan Capture software.<\/p>\n\n<p>You will find all the entries validated during the videocoding phase of your documents.<br\/>From this page you can <strong>export your entries<\/strong> to your accounting ERP, please first check that you have <strong>configured<\/strong> it as explained in the <a href=\"https:\/\/help.openbee.com\/en\/open-bee-scan-capture\/administrators-guide\/accounting\/setting-up-the-accounting-export\/\">accounting export<\/a> part of this documentation.<\/p>\n\n<p>Why batch management?  <br\/>Each of your ledger entries is <strong>associated with<\/strong> a journal and a fiscal year. An accounting batch will <strong>bring together<\/strong> all the entries concerned by the same financial year and the same accounting journal to allow you to export multiple times.<\/p>\n\n<p>The display of this page is divided into three parts:<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200591.png\" alt=\"\"\/><\/figure>\n\n<h1 class=\"wp-block-heading\" id=\"Gestiondeslots-Filtres\">Filters<\/h1>\n\n<p>The upper part of this page is dedicated to the different filters used to sort information.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245835.jpg\" alt=\"\"\/><\/figure>\n\n<ul class=\"wp-block-list\"><li>Folder: Allows you to select the folder that contains the accounting batch(es) you are looking for. Selecting this filter is <strong>mandatory<\/strong> for batch display<br\/>To the left of each folder name is <strong>the<\/strong> number of writes waiting to be exported for that one<br\/><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245846.jpg\"\/><\/li><li>Status: Allows you to sort your batches:<ul><li>In Progress: Shows you only the batches in progress (which are not exported)<\/li><li>Exported: Shows you only batches that have been exported<\/li><li>Failed Export: Shows you only batches that failed to export and are therefore waiting for a new export<\/li><\/ul><\/li><li>Fiscal Year: Allows you to select batches for a specific fiscal year<\/li><li>Journal: Allows you to select batches from a specific ledger journal<\/li><\/ul>\n\n<h1 class=\"wp-block-heading\" id=\"Gestiondeslots-Affichagedeslots\">Batch Display<\/h1>\n\n<p>Once at least one folder has been selected, the display of your batches will be available.<br\/><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245836.jpg\"\/><\/p>\n\n<p>This consists of a list with each row corresponding to a batch. A lot line is constructed like this:<br\/><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245837.jpg\"\/><\/p>\n\n<ol class=\"wp-block-list\"><li>indicating the status of the batch:<ol><li><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245839.png\"\/>: Lot already exported<\/li><li><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245838.png\"\/>: Batch being modified or Batch in progress. Even if the <strong>change batch<\/strong> has the <strong>same<\/strong> journal and fiscal year as one of the <strong>current batches<\/strong>, they will not merge because a change batch is attached to a batch that has already been exported<\/li><li><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245840.png\"\/>  : Lot whose export has failed and therefore waiting for a new export<\/li><\/ol><\/li><li>Relevant journal code<\/li><li>Relevant accounting year<\/li><li>Batch creation date (depending on the version &lt;= 3.0.0, this represents the date of export of the batch and is therefore not present until a batch is exported)<\/li><\/ol>\n\n<h1 class=\"wp-block-heading\" id=\"Gestiondeslots-D&#xE9;tailsd'unlot\">Batch Details<\/h1>\n\n<p>Once you have selected one of the batches, the right side of the screen will show you the details of the batch. It is composed of different tables, each <strong>representing<\/strong> an accounting entry <strong>consisting<\/strong> of one or more lines.<br\/>The columns of these tables are configurable from the interface presented in the <a href=\"https:\/\/help.openbee.com\/en\/open-bee-scan-capture\/administrators-guide\/accounting\/accounting-setup\/\">accounting configuration section<\/a> of this documentation.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200592.png\" alt=\"\"\/><\/figure>\n\n<h3 class=\"wp-block-heading\" id=\"Gestiondeslots-Historiqued'undocument\">History of a document<\/h3>\n\n<p><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245842.jpg\"\/>: This button allows you to display a window showing all the actions of this document since it arrived in the Open Bee\u2122 Scan Capture software<\/p>\n\n<p>Example of actions related to a document:<\/p>\n\n<h3 class=\"wp-block-heading\" id=\"Gestiondeslots-\"><strong><\/strong><\/h3>\n\n<h3 class=\"wp-block-heading\" id=\"Gestiondeslots-Modificationd'une&#xE9;criture\">Modifying an entry<\/h3>\n\n<p>If one or more entries are incorrect, you can <strong>modify<\/strong> them one by one by double-clicking on them. The videocoding page will then open with the desired script. All you have to do is <strong>modify<\/strong> it as you wish and <strong>revalidate<\/strong> your changes.<br\/>When you arrive on the videocoding page, you may notice the absence of a document image. This does not prevent you from making your changes and can be explained in the following cases:<\/p>\n\n<ul class=\"wp-block-list\"><li>Write Already Exported Output File: Open Bee\u2122 Scan Capture has erased the images related to your document.<\/li><li>Writing already exported DMS output: Open Bee\u2122 Scan Capture has erased the images related to your document, but is in the process of downloading the images of your document from your DMS if it allows it. The images are expected to reappear shortly.<\/li><\/ul>\n\n<p>Modifying an entry from a batch that has already been exported, will automatically create a new change batch. Indeed, an exported batch cannot be modified, so your entry will be duplicated and your changes will be applied to the modification batch specially created for the occasion.<\/p>\n\n<h3 class=\"wp-block-heading\" id=\"Gestiondeslots-Exportd'uneouplusieurs&#xE9;critures\">Export of one or more entries<\/h3>\n\n<p>To export one or more entries, simply select them using the checkboxes to the right of each entry<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200594.png\" alt=\"\"\/><\/figure>\n\n<p>Then click on the export button at the bottom of the part concerning the details of a batch<br\/><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200595.png\"\/><\/p>\n","protected":false},"excerpt":{"rendered":"<p>General Welcome to the batch management part of Open Bee\u2122 Scan Capture software.
