{"id":21129,"date":"2022-04-11T13:55:50","date_gmt":"2022-04-11T11:55:50","guid":{"rendered":"https:\/\/help.openbee.com\/open-bee-scan-capture\/administrators-guide\/configuration\/setting-up-folders\/"},"modified":"2026-05-13T09:36:12","modified_gmt":"2026-05-13T07:36:12","slug":"setting-up-folders","status":"publish","type":"page","link":"https:\/\/help.openbee.com\/en\/open-bee-scan-capture\/administrators-guide\/configuration\/setting-up-folders\/","title":{"rendered":"Setting up folders"},"content":{"rendered":"\n<h1 class=\"wp-block-heading\" id=\"Configurationdesdossiers-G&#xE9;n&#xE9;ral\">General<\/h1>\n\n<p>The &#8220;<strong>Configuration&#8221; tab, &#8220;Folders<\/strong>&#8220;, will allow you to add\/modify or delete information related to your folders.<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Configurationdesdossiers-Ajouterundossier\">Add a folder<\/h1>\n\n<p>To add a folder, simply click on the &#8220;<strong>Add New Folder<\/strong>&#8221; button located at the top of the page.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200641.png\" alt=\"\"\/><\/figure>\n\n<h1 class=\"wp-block-heading\" id=\"Configurationdesdossiers-Informations\">News<\/h1>\n\n<p>Open Bee\u2122 Scan Capture allows you to fill in certain information about each case.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200642.png\" alt=\"\"\/><\/figure>\n\n<p>Each piece of information will be <strong>used<\/strong> when searching for third parties. Indeed, these will be automatically <strong>removed<\/strong> from the information found by Open Bee\u2122 Scan Capture to identify a third party in order to <strong>avoid<\/strong> offering erroneous information to the user.<\/p>\n\n<p>A <strong>unique<\/strong> name is required in order to validate your file<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Configurationdesdossiers-Informationssuppl&#xE9;mentaires\">Additional Information<\/h1>\n\n<p>Each additional piece of information consists of:<\/p>\n\n<ul class=\"wp-block-list\"><li>Name: Used as a unique key<\/li><li>Of value<\/li><\/ul>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200643.png\" alt=\"\"\/><\/figure>\n\n<p>Once additional information is added to a folder, it will be added with an empty value <strong>to all other folders in<\/strong> your application. Indeed, this information is generic to the application and can be used during the various exports offered by the application.<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Configurationdesdossiers-Importationdestiers\">Importing Third Parties<\/h1>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200644.png\" alt=\"\"\/><\/figure>\n\n<p>The third-party import file must follow a defined format described in <a href=\"https:\/\/help.openbee.com\/en\/open-bee-scan-capture\/administrators-guide\/configuration\/third-party-repository\/\" data-type=\"page\" data-id=\"8294\">the Third-Party Repository<\/a> chapter. The import will be done when the file is validated.<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Configurationdesdossiers-Absorptiondesdocuments\">Document Absorption<\/h1>\n\n<p>To set up the absorption of documents on a folder, go to the &#8220;<strong>Absorb<\/strong>&#8221; tab after selecting your folder.<\/p>\n\n<h2 class=\"wp-block-heading\" id=\"Configurationdesdossiers-AbsorptionWindows\">Absorption Windows<\/h2>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200645.png\" alt=\"\"\/><\/figure>\n\n<p>To <strong>set up<\/strong> a Windows folder that will be observed by Open Bee\u2122 Scan Capture to absorb the documents contained in it, simply fill in the path to that folder.<\/p>\n\n<p>The folder path must be a path on the Open Bee\u2122 Scan Capture server. Indeed,<strong> the absorption of documents<\/strong> is carried out by the server part of the software<\/p>\n\n<h2 class=\"wp-block-heading\" id=\"Configurationdesdossiers-AbsorptionDMS\">Absorption DMS<\/h2>\n\n<p>This feature is only available if the DMS output is enabled and if it is correct (The connection with it has been verified. See <a href=\"https:\/\/help.openbee.com\/en\/open-bee-scan-capture\/administrators-guide\/configuration\/general-setup\/output-setting\/dms-profile-open-bee-portal\/\">DMS configuration page)<\/a><\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200646.png\" alt=\"\"\/><\/figure>\n\n<p>To select a DMS folder in which Open Bee\u2122 Scan Capture will absorb documents, simply:<\/p>\n\n<ul class=\"wp-block-list\"><li>Click on the folder icon<\/li><li>Select the desired folder in the window that has opened. To <strong>browse the tree,<\/strong> you can double-click on the folders or go back to a parent folder via the breadcrumbs at the top of the window.<\/li><\/ul>\n\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200647.png\" width=\"384\" height=\"384\"\/><br\/>You can also <strong>add<\/strong> a folder directly from this window by right-clicking your mouse.<\/p>\n\n<ul class=\"wp-block-list\"><li>All you have to do is validate the chosen file and then validate your file<\/li><\/ul>\n\n<h1 class=\"wp-block-heading\" id=\"Configurationdesdossiers-Choixdestypesdedocuments\">Choice of document types<\/h1>\n\n<p>From the folder management, you can also <strong>define<\/strong> for each folder which types of documents will be absorbed and therefore configurable.<br\/>To do this, go to the &#8220;<strong>Documents<\/strong>&#8221; tab, all you have to do is tick the types of documents accepted<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200648.png\" alt=\"\"\/><\/figure>\n\n<h1 class=\"wp-block-heading\" id=\"Configurationdesdossiers-Cadrecomptabledudossier\">Accounting framework of the file<\/h1>\n\n<p>In the Accounting Framework tab, you can configure the different fiscal years as well as the different accounting journals accepted by the file.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200649.png\" alt=\"\"\/><\/figure>\n\n<p>Open Bee\u2122 Scan Capture will perform an audit to ensure that no accounting years overlap.<br\/>The symbol <img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/252937520.jpg\"\/> means that the fiscal year is<strong> the current fiscal year<\/strong>. For logs, this symbol defines the<strong> default<\/strong> log used if multiple logs are of the same type.<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Configurationdesdossiers-Configurationcomptable\">Accounting Setup<\/h1>\n\n<p>Like the accounting setup page, this tab allows you to change the configuration specifically for the folder in question.<br\/><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200650.png\"\/><br\/>Changes made on the General Ledger <strong>Setup page<\/strong> will no longer affect this folder if it has <strong>already<\/strong> undergone a <strong>specific change<\/strong>.<br\/>For more details on the accounting configuration, go to the<a href=\"https:\/\/help.openbee.com\/en\/open-bee-scan-capture\/administrators-guide\/accounting\/accounting-setup\/\"> page provided for this purpose<\/a>.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>General The &#8220;Configuration&#8221; tab, &#8220;Folders&#8220;, will allow you to add\/modify or delete information related to your folders.
