{"id":21176,"date":"2022-04-11T13:55:56","date_gmt":"2022-04-11T11:55:56","guid":{"rendered":"https:\/\/help.openbee.com\/open-bee-scan-capture\/user-guide\/customize-an-index\/"},"modified":"2026-05-13T09:36:25","modified_gmt":"2026-05-13T07:36:25","slug":"customize-an-index","status":"publish","type":"page","link":"https:\/\/help.openbee.com\/en\/open-bee-scan-capture\/user-guide\/customize-an-index\/","title":{"rendered":"Customize an index"},"content":{"rendered":"\n<h1 class=\"wp-block-heading\" id=\"Personnaliserunindex-Description\">Description<\/h1>\n\n<p>You can customize the area where Open Bee\u2122 Scan Capture retrieves the value of an index.<\/p>\n\n<p>Indeed, some indexes may be ambiguous (e.g. date, due date or invoice number, etc.) because other values in the document may interfere with the search (delivery date, parcel number, etc.). In this case, you can specify how Open Bee\u2122 Scan Capture retrieves the value of each index for a given party, or folder (customization by party or by folder is chosen via the template applied to the invoice). This choice is available in the document template.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200734.png\" alt=\"\"\/><\/figure>\n\n<p>You can recognize a custom area by its color. Indeed, on Open Bee\u2122 Scan Capture , the zones have a specific color code:<\/p>\n\n<ul class=\"wp-block-list\"><li><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245925.jpg\"\/>Specifies an information box for the &#8220;invoice number&#8221; field. That is, the area where the text currently used as the value of the field is located.<\/li><li><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245926.jpg\"\/>  Specifies a customization area for the &#8220;invoice number&#8221; field. That is, the area that allows Open Bee\u2122 Scan Capture to focus its search on a specific location.<\/li><\/ul>\n\n<h1 class=\"wp-block-heading\" id=\"Personnaliserunindex-Personnalisationsimple\">Simple Customization<\/h1>\n\n<ol class=\"wp-block-list\"><li>Select the field you want to customize from the list of information on the right side of your screen<br\/><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200735.png\"\/><\/li><li>Hold down the <strong>CTRL<\/strong> key to go to the image of your document to select the area, you will notice that your cursor has changed and looks like a cross <img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245924.jpg\" width=\"25\"\/>. It tells you that you are in personalization mode. Still holding down the <strong>CTRL<\/strong> key, press and hold the <strong>left mouse button<\/strong> <strong>while<\/strong> dragging your area to frame the text that Open Bee\u2122 Scan Capture should have chosen for your index. Counsel  <em>  Feel free to make a fairly large area around your value. This only serves as a restriction for Open Bee\u2122 Scan Capture , so don&#8217;t be too specific.<\/em> <em>If you are customizing an <strong>\n  <u>index that multiplies<\/u>\n<\/strong>, e.g. Total excl. VAT, Total excl. VAT(1), Total excl. VAT(2). The customization will be global for the HT index, it is not defined for each multiplication of this index. In this case, feel free to customize a large area containing all the values of these indexes (in this example they are very often aligned vertically so a large vertical area on the column is the right solution).<\/em><\/li><\/ol>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200736.png\" alt=\"\"\/><\/figure>\n\n<p>Once the mouse button is released, customization will be done<br\/><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245926.jpg\"\/><\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Personnaliserunindex-Personnalisationavanc&#xE9;e\">Advanced Customization<\/h1>\n\n<p>To go further in customization, you can double-click on an already customized area to display the customization edit mode.<br\/><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200737.png\"\/><\/p>\n\n<p>The different options are:<\/p>\n\n<ul class=\"wp-block-list\"><li><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200738.png\" width=\"46\"\/>  Enter the customization wizard that will allow you to change the templates that allow you to find the different values of an index, to make some of them priority, or to add markers. <em>See next paragraph marker\/value<\/em><\/li><li><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200739.png\" width=\"46\"\/>  Change the search type for this area: By default the search type is <strong>Vertical\/Horizontal<\/strong> by clicking on this button you can scroll through the different search types which are: <strong>Fixed Area<\/strong>, <strong>Vertical<\/strong>, <strong>Horizontal.<\/strong><em>See next paragraph type of search box<\/em><\/li><li><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200740.png\" width=\"45\"\/>  Delete the custom area<\/li><\/ul>\n\n<h3 class=\"wp-block-heading\" id=\"Personnaliserunindex-Marqueur\/Valeur\">Marker\/Value<\/h3>\n\n<p>Open Bee Scan Capture provides the user with <strong>values<\/strong> for the various indexes configured. These <strong>values<\/strong> are marked on the document and then associated with <strong>markers<\/strong>. A <strong>tag<\/strong> is a keyword (example for an invoice number: No., Number, Num, Invoice). This allows Open Bee\u2122 Scan Capture to eliminate values that are too far away from it. By combining the different <strong>values<\/strong> and <strong>markers<\/strong> in this way, we obtain marker\/value pairs. Open Bee\u2122 Scan Capture then selects the most relevant pair (well aligned, or very close, etc.)<\/p>\n\n<h3 class=\"wp-block-heading\" id=\"Personnaliserunindex-Typedezonederecherche\">Type of search box<\/h3>\n\n<p>A personalization box is associated with a search box, which can be:<\/p>\n\n<ul class=\"wp-block-list\"><li>Fixed Zone: The value will be searched within the zone but not elsewhere<\/li><li>Vertical Zone: The value will initially be searched within the zone. But if it&#8217;s not found, the area will move in a vertical corridor all the way down the bill to try and find a matching value. (Represented by a large vertical yellow area in customization edit mode)<\/li><li>Horizontal Zone: The value will initially be searched within the zone. But if it&#8217;s not found, the area will move in a horizontal corridor along the entire length of the bill to try to find a matching value. (Represented by a large horizontal yellow area in customization edit mode)<\/li><li>Horizontal\/Vertical Zone: The value will initially be searched within the zone. But if it&#8217;s not found, the area will move in a vertical and then horizontal corridor all the way down the bill to try to find a matching value. (Represented by two large horizontal and vertical yellow areas in customization edit mode)<\/li><\/ul>\n\n<h1 class=\"wp-block-heading\" id=\"Personnaliserunindex-Personnalisationexperte\">Expert Customization<\/h1>\n\n<p>Clicking on the button <img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200738.png\" width=\"46\"\/>opens the customization wizard.<br\/><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200741.png\" width=\"1423\" height=\"191\"\/><\/p>\n\n<p>This interface is made up of two parts:<\/p>\n\n<ul class=\"wp-block-list\"><li>Marker: If a marker appears in the text box, it means that Open Bee\u2122 Scan Capture has recognized a marker among those it knows for that index in your customization area. If the text box is blank you can enter a marker contained in the box, Open Bee\u2122 Scan Capture will then save it as a potential marker for that index.<\/li><li>Value: In the text box appears all the text present in your text box. So proceed step by step:<ol><li>Clear words that don&#8217;t match the desired value for the index<\/li><li>See if Open Bee\u2122 Scan Capture knows a pattern for this value:<ul><li><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245932.jpg\"\/>  this icon warns you that Open Bee\u2122 Scan Capture knows a pattern that can be applied to find this value<\/li><li><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245933.jpg\"\/>this icon warns you that Open Bee\u2122 Scan Capture cannot recognize this value via known patterns. So you need to teach him a new pattern. You have two choices:<ul><li>You haven&#8217;t taken the regex training: Just click on the icon <img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245933.jpg\"\/>, it will generate a very simple template to find your value. You can verify that the template has been successfully generated by getting the icon <img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245932.jpg\"\/>. You can then validate and continue your videocoding.<\/li><li>You&#8217;ve gone through the regex training: You can click on &#8220;Advanced Mode&#8221;, which allows you to get this interface:<br\/><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200742.png\" width=\"1420\" height=\"440\"\/><\/li><\/ul><\/li><\/ul><\/li><\/ol><\/li><\/ul>\n\n<h1 class=\"wp-block-heading\" id=\"Personnaliserunindex-Changerlaconfigurationd'unindex\">Change the configuration of an index<\/h1>\n\n<p>If your rights allow it, you can change the configuration of an index for the current party. To do this, simply double-click on the name of the index you want to change.<br\/>A configuration window appears, allowing you to modify the index as you wish. For more information on how to set up an index, see <a href=\"https:\/\/help.openbee.com\/en\/open-bee-scan-capture\/administrators-guide\/configuration\/model-management\/document-index\/\">Managing Indexes<\/a>.<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Personnaliserunindex-Personnalisationd'unindexauseind'unelignearticle\">Customizing an Index Within an Item Line<\/h1>\n\n<p>To customize an index within an item line, you must:<\/p>\n\n<ul class=\"wp-block-list\"><li>Select one of the boxes in the column corresponding to this index<br\/><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200744.png\" width=\"321\" height=\"550\"\/><\/li><li>Follow the customization procedure mentioned above<\/li><\/ul>\n\n<p>To set up an item row index, simply double-click on the column header corresponding to the index you want to edit.<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Personnaliserunindex-Testerlespersonnalisations\">Test customizations<\/h1>\n\n<p>When you&#8217;re done customizing your indexes, you can test these customizations by reinterpreting your document (click on the button <img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/256245938.jpg\"\/> at the bottom of the interface) so that Open Bee\u2122 Scan Capture applies your latest customizations and instantly see if they work or not and modify them accordingly.<\/p>\n\n<p>Careful<\/p>\n\n<p>Don&#8217;t forget to check that a third party is recognized for this document if you want Open Bee\u2122 Scan Capture to be able to save your customizations<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Personnaliserunindex-Revoirsespersonnalisations\">Review your customizations<\/h1>\n\n<p>By default, customizations saved by Open Bee\u2122 Scan Capture do not appear on the screen so as not to overload the display. However, if you can check the customizations already made for a third party, so as not to redo them unnecessarily, delete some of them or simply check that one of your fields includes the value present on your new document. To do this:<\/p>\n\n<ol class=\"wp-block-list\"><li>All you have to do is click on the icon at the bottom left of your interface<br\/><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200747.png\"\/><\/li><li>A menu will then open, you just have to select the &#8220;See all customizations&#8221; option for them to appear<br\/><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/278200746.png\" width=\"872\" height=\"237\"\/><\/li><li>If you want to make them disappear, you just have to click on this option a second time.<\/li><\/ol>\n","protected":false},"excerpt":{"rendered":"<p>Description You can customize the area where Open Bee\u2122 Scan Capture retrieves the value of an index.
