{"id":21585,"date":"2022-04-11T13:59:48","date_gmt":"2022-04-11T11:59:48","guid":{"rendered":"https:\/\/help.openbee.com\/open-bee-smart-capture\/administrator-guide\/maintenance\/"},"modified":"2026-05-13T09:37:20","modified_gmt":"2026-05-13T07:37:20","slug":"maintenance","status":"publish","type":"page","link":"https:\/\/help.openbee.com\/en\/open-bee-smart-capture\/administrator-guide\/maintenance\/","title":{"rendered":"Maintenance"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\" id=\"Maintenance-Documentenerreur\">Document in error<\/h2>\n\n<p>The list of documents in error can be consulted in the &#8221; <strong>Maintenance<\/strong> &#8221; menu &#8220;Documents in error&#8221; sections<\/p>\n\n<p>It allows the user to see documents that have been passed in error in Capture and therefore are not visible in their waitlist.<\/p>\n\n<p>The different errors can be:<\/p>\n\n<ul class=\"wp-block-list\"><li>Unknown error: The source of the problem cannot be cited<\/li><li>File extension is not considered: The Capture engine cannot interpret this type of document<\/li><li>Interpretation error on the file: Possibly due to a misconfiguration on the document<\/li><li>OCR error on file: Capture failed to extract the text layer from the document<\/li><li>File not in database: We no longer have the file for this document in Capture<\/li><\/ul>\n\n<h2 class=\"wp-block-heading\" id=\"Maintenance-Logs\">Logs<\/h2>\n\n<h3 class=\"wp-block-heading\" id=\"Maintenance-G&#xE9;n&#xE9;ralit&#xE9;\">Generality<\/h3>\n\n<p>In this part of Smart Capture, you can trace all the actions performed on the software by a user.<\/p>\n\n<p>To access this page, go to the &#8220;Maintenance&#8221; menu \/ &#8220;Logs&#8221; section<\/p>\n\n<p><strong>Presentation<\/strong><\/p>\n\n<p>What is a log?<\/p>\n\n<p>A log is an object made up of several fields that is used to represent an action that has been performed on the application. It is built like this:<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/276922534.png\" alt=\"\"\/><\/figure>\n\n<ul class=\"wp-block-list\"><li>Identifier: Unique number representing a log<\/li><li>Date: The specific date on which the action was taken<\/li><li>Target ID: Identifier of the object concerned by the log<\/li><li>Category: Large category to which the log belongs (here accounting records)<\/li><li>Action: Action concerned by the log (here an update)<\/li><li>User: The user who performed this action<\/li><li>Message: A message used to describe the action that was performed<\/li><\/ul>\n\n<h3 class=\"wp-block-heading\" id=\"Maintenance-Lesfiltres\">Filters<\/h3>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/276922535.png\" alt=\"\"\/><\/figure>\n\n<ul class=\"wp-block-list\"><li>Start Date: Allows you to sort logs that are greater than or equal to a specific date<\/li><li>End Date: Allows you to sort logs that are less than or equal to a specific date<\/li><li>Category: Allows you to filter logs that belong to a particular category (Documents, Users, Groups, Templates, Accounts, &#8230;)<\/li><li>Action: Allows you to filter logs related to a specific action (A deletion, An addition, A modification, &#8230;)<\/li><li>User: Allows you to filter logs made by a specific user<\/li><li>Target ID: Allows you to filter logs about a specific Smart Capture object<\/li><\/ul>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/276922536.png\" alt=\"\"\/><\/figure>\n\n<p>If the logs are too numerous to display, a pagination allows you to browse them:  <img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/276922537.png\"\/><\/p>\n\n<h2 class=\"wp-block-heading\" id=\"Maintenance-Corbeille\">Basket<\/h2>\n\n<p>Documents are no longer permanently deleted from Capture. They are placed in a recycle bin until they are automatically deleted (30 days configurable) or manually.<\/p>\n\n<p>To access the recycle bin<\/p>\n\n<p>Click on the <strong>Maintenance<\/strong> menu<\/p>\n\n<p>Click the <strong>Trash<\/strong> section<\/p>\n\n<p>You will find in the recycle bin all documents deleted manually, by an internal process or all documents that have finished their processing cycles in Smart capture.<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/276922538.png\" alt=\"\"\/><\/figure>\n\n<h2 class=\"wp-block-heading\" id=\"Maintenance-Sessions\">Sessions<\/h2>\n\n<p>Smart Capture allows you to manage the sessions of users connected to the solution. To view them, click on the &#8221; <strong>Maintenance<\/strong> &#8221; menu and then on the &#8221; <strong>Sessions<\/strong> &#8221; section<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/276922539.png\" alt=\"\"\/><\/figure>\n\n<h3 class=\"wp-block-heading\" id=\"Maintenance-Cr&#xE9;erunesession\">Create a session<\/h3>\n\n<p>Sessions are created automatically each time the user logs in to Smart Capture.<\/p>\n\n<p>Sessions end after 10 minutes of inactivity<\/p>\n\n<p>This means that if the user logs in at 9:00 and does not take any action at 9:10 a.m., their session is automatically deleted and they have to log in again<\/p>\n\n<p>On the other hand, if he connects at 9:00 a.m. and he does an action on Smart Capture (page change or other) at 9:08 a.m., his session will be valid until at least 9:18 a.m.<\/p>\n\n<p>So it is valid for 10 minutes after the last action performed<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/276922542.png\" alt=\"\"\/><\/figure>\n\n<p>Composition<\/p>\n\n<p>A session is composed of several pieces of information:<\/p>\n\n<ul class=\"wp-block-list\"><li>Date: The date, time, second of the user&#8217;s last action<\/li><li>Identifier: The identifier used by the user to log in<\/li><li>Session: The machine on which the user logged in<\/li><\/ul>\n\n<h3 class=\"wp-block-heading\" id=\"Maintenance-Supprimerunesession\">Delete a session<\/h3>\n\n<p>You can delete a session at any time by clicking on the icon provided for this purpose <img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/276922543.png\"\/> .
