The Analytics module refreshes its usage data once a day.<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Guideadministrateur-Acc&#xE9;deraumoduleAnalytics\">Go to the Analytics module<\/h1>\n\n<p>To access the Analytics module, click <img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/273908122.png\"\/> to display the menu.<\/p>\n\n<p>Click <strong>Analytics<\/strong><\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/273908162.jpg\" alt=\"\"\/><\/figure>\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\"><p>The first time you open it, you will have to Initialize the database<\/p><\/blockquote>\n\n<h1 class=\"wp-block-heading\" id=\"Guideadministrateur-Listedescomposants\">List of components<\/h1>\n\n<p>The following interface allows you to access the following components:<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/273908125.jpg\" alt=\"\"\/><\/figure>\n\n<p>The Filters component on the left allows you to set your view. By default, you are invited to configure the dashboard corresponding to an Extranet for the dematerialization of customer invoices. You can also choose other view views (<em>Documents<\/em>, Folders,<em> Tasks<\/em>, <em>Filing Rules, etc.)<\/em> by setting the following<em> filters<\/em>:<\/p>\n\n<p><strong>Date<\/strong> : (the time interval of the actions displayed)<\/p>\n\n<p><strong>Users and Groups <\/strong>: Allows you to filter by groups and users in the portal<\/p>\n\n<p><strong>Categories <\/strong>: these represent all the features taken into account in the Analytics module, e.g. Document, Folders, Extranet, Filing Rule, Workflows, Tasks, etc.<\/p>\n\n<p>Actions: they are represented according to the category<\/p>\n\n<p>E.g. Actions related to the document category (Adding a document, deleting, etc.).<\/p>\n\n<h1 class=\"wp-block-heading\" id=\"Guideadministrateur-Cr&#xE9;erdesrapportsenutilisantlacat&#xE9;gorie:Documents\">Create reports using the category: Documents<\/h1>\n\n<p>You can generate statistics using the <strong>Documents<\/strong> category<\/p>\n\n<p>To view the chart that relates to actions related to the Documents category<\/p>\n\n<ul class=\"wp-block-list\"><li>Select a <strong>date<\/strong><\/li><li>Select the <strong>Documents<\/strong> category<\/li><li>Select an action e.g <em>. (Adding a document)<\/em><\/li><\/ul>\n\n<p>=&gt; All document additions will be displayed on the charts with the predefined time period in the date field.<\/p>\n\n<p>FYI: When the mouse hovers over each element in the chart, the number of documents added is displayed.<\/p>\n\n<p>The filter result is automatically displayed as:<\/p>\n\n<p>A<strong> histogram <\/strong>containing all the the bookmark (By default the report will be created for the logged-in user)<\/li><li>You can also create the report for groups and users e.g.: <strong>Administators <\/strong>(you must have the other categories of items<\/p>\n\n<p>For example: You can generate charts using the category: <strong>Ranking Rules<\/strong><\/p>\n\n<ul class=\"wp-block-list\"><li>Select a <strong>date<\/strong><\/li><li>Select the <strong>Ranking Rules<\/strong> category<\/li><li>Select a filing rule e.g.: <em>(<strong>CUSTOMER-Sales Invoices<\/strong>)<\/em><\/li><\/ul>\n\n<p><em>By setting the action, other filters are automatically displayed:<\/em><\/p>\n\n<ul class=\"wp-block-list\"><li>Select a filter in the field: <strong>Show the number of documents based on: <\/strong> e.g.: <em>(Customer name)<\/em><\/li><li>Select a filter in the <strong>Break down by:<\/strong> e.g. <em>(Customer name)<\/em> field<\/li><\/ul>\n\n<p>You can also apply additional filters if you want<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/273908149.jpg\" alt=\"\"\/><\/figure>\n\n<p>If you wish, you can category by applying specific filters to the folders (deleted, added, shared&#8230;) by clicking on the Actions filter.<\/p>\n\n<p>Example: The following interface displays the number of <em>deleted <strong>workflow <\/strong>where you can view the number of documents (approved, rejected, and documents in progress) that are in the workflow.<\/p>\n\n<p>The following interface displays the actions id=\"Guideadministrateur-Configurerl'Extranet\">Configure the Extranet<\/h1>\n\n<p>You can also generate a dashboard for the <strong>Extranet <\/strong>to view documents for example: documents that have not been opened by customers, see missing revenue and send reminders automatically.<\/p>\n\n<p>On the home page, you will find the settings to be configured for the dashboard for the Extranet<\/p>\n\n<p>To set up the dashboard for the first time, you need to fill out the following form:<\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/273908155.jpg\" alt=\"\"\/><\/figure>\n\n<ul class=\"wp-block-list\"><li>Select your <strong>Extranet<\/strong><\/li><li>Select your <strong>Filing Rule<\/strong> (e.g. Client Files)<\/li><li>Select in the <strong>Inclusive Amount<\/strong> field (the decimal value to display financial values.)<\/li><li>Select your<strong> Currency<\/strong><\/li><li>Click <strong>Submit<\/strong>.<\/li><\/ul>\n\n<p>Once validated, you will find yourself on the following dashboard:<\/p>\n\n<figure class=\"wp-block-image\"><img dematerialization of invoices:<\/p>\n\n<p>The different cards on the dashboard contain:<\/p>\n\n<ul class=\"wp-block-list\"><li>The number of invoices that have been issued via the Open Bee portal (You can get more details by clicking on the link <strong>See the list<\/strong>)<\/li><li>A new interface is displayed which contains the list of invoices issued with all the data<br\/><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/273908157.jpg\" width=\"700\"\/><\/li><\/ul>\n\n<ul class=\"wp-block-list\"><li>The financial value of the invoices that have been issued with the Extranet (For how many invoices you have sent via the EDM)<\/li><li>Savings over the period<\/li><\/ul>\n\n<p>It contains in particular the identification of customers at risk:<\/p>\n\n<ul class=\"wp-block-list\"><li>The number of customers who are never connected to the extranet:<\/li><li>The number of customers who have not downloaded one or more documents made available to them<\/li><\/ul>\n\n<p><em>These 2 pieces of information were not refreshed in real time but through daily processing.<\/em><\/p>\n\n<p>To change the Extranet settings, simply click on
