{"id":22200,"date":"2022-08-19T16:48:35","date_gmt":"2022-08-19T14:48:35","guid":{"rendered":"https:\/\/help.openbee.com\/open-bee-cycle-de-vie\/administrators-guide\/set-up-a-rule-for-automatic-reminders\/calculation-method-business-rules\/"},"modified":"2026-05-13T09:39:00","modified_gmt":"2026-05-13T07:39:00","slug":"calculation-method-business-rules","status":"publish","type":"page","link":"https:\/\/help.openbee.com\/en\/open-bee-cycle-de-vie\/administrators-guide\/set-up-a-rule-for-automatic-reminders\/calculation-method-business-rules\/","title":{"rendered":"Calculation method: business rules"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\">This article is intended to explain in more detail how the automatic reminder calculation works<\/h2>\n\n<p><\/p>\n\n<h3 class=\"wp-block-heading\">When are reminders created?<\/h3>\n\n<p>Reminders are created immediately, i.e.:<\/p>\n\n<ul class=\"wp-block-list\"><li>When creating the auto-ordering rule<\/li><li>Filing a document that meets an automatic rule<\/li><li>Modifying a document that makes it eligible for an automatic reminder rule, i.e. either by modifying the classification rule or by modifying a metadata<\/li><\/ul>\n\n<p>However, reminders will only appear in the reminder tracking tab once their date has passed.<\/p>\n\n<p><\/p>\n\n<h3 class=\"wp-block-heading\">Can the dates of these reminders be changed?<\/h3>\n\n<p>Yes, the dates of the reminders are recalculated in two cases:<\/p>\n\n<ul class=\"wp-block-list\"><li>Changing the calculation method of an automatic reminder rule<ul><li>The recalculation is performed on all active callbacks associated with the rule<\/li><\/ul><\/li><\/ul>\n\n<p><\/p>\n\n<ul class=\"wp-block-list\"><li>To the modification of the reference date used in the calculation, i.e. depending on the case, either:<ul><li>When editing a date metadata<\/li><li>When editing the document or adding a version<\/li><\/ul><\/li><\/ul>\n\n<p>  The date of the recall is then recalculated.<\/p>\n\n<p><\/p>\n\n<h3 class=\"wp-block-heading\">Can we define a calculation method that allows a booster to be triggered before another date?<\/h3>\n\n<p>Yes, it is possible to choose a negative time limit in the calculation method.<\/p>\n\n<p>It is thus possible to set the reminder date before another date which will be entered as the date of activation of the rule.<\/p>\n\n<p><\/p>\n\n<h3 class=\"wp-block-heading\">Can I have several reminders on the same document for the same automatic rule?<\/h3>\n\n<p>No. There is only one active callback at a time for an automatic rule.<\/p>\n\n<p>An active recall is a recall that has not yet been processed.  <\/p>\n\n<p>Recurring reminders will not create multiple reminders on the same document until the previous reminder has been processed.<\/p>\n\n<p><\/p>\n\n<h3 class=\"wp-block-heading\">What actions does Open Bee\u2122 Portal perform during night treatments?<\/h3>\n\n<p>Automatic night treatments serve two purposes:<\/p>\n\n<ul class=\"wp-block-list\"><li>Send notifications of <em>&#8220;reminders to be processed&#8221;<\/em> notifications to the various supervisors of the automatic reminder rules<\/li><\/ul>\n\n<p><\/p>\n\n<ul class=\"wp-block-list\"><li>Automatically process reminders associated with a rule that has reminder processing configured to automatically trigger a workflow or create a task<\/li><\/ul>\n\n<p><\/p>\n\n<h3 class=\"wp-block-heading\">In what cases might expired reminders not appear in the reminders to be processed tab?<\/h3>\n\n<p>Only reminders that require manual processing appear in the reminder tracking interface.<\/p>\n\n<p>If the rule has been configured to automatically handle reminders by a workflow or task, the reminders will only appear in the list of processed reminders.<\/p>\n\n<p>A recall scheduled to go off today will be visible in the list of recalls processed the next day. Indeed, it is the night treatment that will automatically take care of carrying out the action associated with the booster.<\/p>\n\n<p><\/p>\n\n<h3 class=\"wp-block-heading\">When are periodic reminders created?<\/h3>\n\n<p>The new reminder is created when the old reminder is processed, so it is guaranteed that you do not have multiple active reminders for the same document.<\/p>\n\n<p><\/p>\n\n<h3 class=\"wp-block-heading\">How are periodic reminders calculated?<\/h3>\n\n<p>The date of the periodic reminder is calculated from the date of the first reminder to which the duration defined in the periodicity is added.<\/p>\n\n<p>The date the recall is processed does not impact the date of the new periodic reminder.<\/p>\n\n<p><\/p>\n\n<h3 class=\"wp-block-heading\">Can the dates of periodic reminders be changed?<\/h3>\n\n<p>Yes, only in one case.<\/p>\n\n<p>When the recurrence defined in the automatic reminder rule changes, all the dates of the active periodic reminders are recalculated to take into account the new deadline.<\/p>\n\n<p><\/p>\n\n<h3 class=\"wp-block-heading\">Can I enter multiple manual reminders on a document?<\/h3>\n\n<p>Yes, unlike reminders that are automatically created by a rule, there is no limit to manually entering reminders on a document.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>This article is intended to explain in more detail how the automatic reminder calculation works When are reminders created?
