{"id":22209,"date":"2022-04-11T13:49:06","date_gmt":"2022-04-11T11:49:06","guid":{"rendered":"https:\/\/help.openbee.com\/open-bee-bulletin-de-paie-electronique\/administrators-guide\/"},"modified":"2026-05-13T09:39:00","modified_gmt":"2026-05-13T07:39:00","slug":"administrators-guide","status":"publish","type":"page","link":"https:\/\/help.openbee.com\/en\/open-bee-bulletin-de-paie-electronique\/administrators-guide\/","title":{"rendered":"Administrator&#8217;s Guide"},"content":{"rendered":"\n<p>Once the module is installed, a new &#8220;<strong>BPE&#8221;<\/strong> item is available in the main menu of Open Bee\u2122 Portal.<\/p>\n\n<p><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/information-1.png\" alt=\"(info)\"\/>  Only members of the &#8220;Administrators&#8221; group have access to this menu.<\/p>\n\n<p>The module offers you to choose or create two user accounts necessary for the distribution of BPEs:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>The BPE distribution manager: this user will have the <a href=\"https:\/\/help.openbee.com\/en\/open-bee-portal\/administrators-guide\/roles\/\">&#8220;Functional Administrator&#8221; role<\/a><\/li>\n\n\n\n<li>A &#8220;system&#8221; account that will be used by Open Bee\u2122 ERP Manager to deposit BPE in Open Bee\u2122 Portal.<\/li>\n<\/ul>\n\n<p>For the rest, we will refer to these users as &#8220;HRD&#8221; and &#8220;ERP-HR&#8221;. Icon<\/p>\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>  Once defined, these users cannot be modified.<\/p>\n\n\n\n<p>As the &#8220;HRD&#8221; user is the manager of a Secure Storage Area, he or she must have a valid e-mail address in order to be able to log in.<\/p>\n<\/blockquote>\n\n<p><\/p>\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/252936241.png\" alt=\"\"\/><\/figure>\n\n<p>If the users don&#8217;t exist yet, you can simply create them using the &#8220;+&#8221; button.<\/p>\n\n<p>The validation of this form automatically performs the following operations for you:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Create users if they don&#8217;t exist<\/li>\n\n\n\n<li>Creation of a Secure Storage Space, named &#8220;RH&#8221; at the root of the Open Bee\u2122 Portal tree with the HRD user as manager. The ERP-HR user has write permission only on this space.<\/li>\n\n\n\n<li>Creation of a subfolder of &#8220;Employee Area&#8221; in the &#8220;HR&#8221; space with the same permissions.  <\/li>\n\n\n\n<li>A &#8220;Payslip&#8221; filing rule with the following configuration:\n<ul class=\"wp-block-list\">\n<li>Permission to edit only by the &#8220;HR&#8221; user<\/li>\n\n\n\n<li>Metadata:\n<ul class=\"wp-block-list\">\n<li>Employer (list)<\/li>\n\n\n\n<li>Full Name (List)<\/li>\n\n\n\n<li>Number (list)<\/li>\n\n\n\n<li>Start period (date)<\/li>\n\n\n\n<li>End period (date)<\/li>\n\n\n\n<li>Payment Date (date)<\/li>\n\n\n\n<li>Email (text)<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Filing of documents in the \/HR\/Employee Space\/<nom complet=\"\">&#8211;<matricule>\/ folder<p d=\"\"><\/p><\/matricule><\/nom><\/li>\n\n\n\n<li>Rename documents as follows: BulletinDePaie_<nom complet=\"\">&#8211;<matricule>_<p d=\"\"><\/p><p fin=\"\"><\/p><\/matricule><\/nom><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>An extranet with the following configuration:\n<ul class=\"wp-block-list\">\n<li>The &#8220;\/HR\/Employee Area&#8221; folder as the root folder  <\/li>\n\n\n\n<li>Read permissions only for extranet users  <\/li>\n\n\n\n<li>Write permissions only for the &#8220;ERP-HR&#8221; user<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n<p><img decoding=\"async\" src=\"https:\/\/help.openbee.com\/wp-content\/uploads\/2022\/04\/information-1.png\" alt=\"(info)\"\/>  It is quite possible to carry out this configuration &#8220;by hand&#8221;, without going through the Open Bee\u2122 BPE module.  <\/p>\n\n<p>Once this first step is completed, you can <a href=\"https:\/\/help.openbee.com\/en\/?page_id=22279\">configure <\/a>Open Bee\u2122 ERP Manager which will allow the automated deposition and deposition control mechanisms of GEPs, and thus classify your first GEPs.<\/p>\n\n<p>It is then the responsibility of the HR manager (HRD user) to authorise its distribution or not to employees.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Once the module is installed, a new &#8220;BPE&#8221; item is available in the main menu of Open Bee\u2122 Portal.
