Improvement – Multi-Page Expense Preview

When adding or editing an expense, the previewer now supports multi-page documents.
The user can easily navigate between pages thanks to next and previous actions, directly from the expense overview.

This improvement facilitates the consultation of supporting documents comprising several pages and improves the user experience when entering and controlling expenses.

Export of accounting entries

From the new expense search screen, it is now possible to export the accounting entries of selected expenses. The user can choose the export format via a popup, and only enabled formats are offered for export.

Definition of a validator per employee
It is now possible to define a validator for each employee using the expense report. The validator is a Portal user and can be used as an actor in a workflow task.

The validator can be defined in the administration of the Expense Report module:

  • from the employee configuration popup,
  • via the CSV import/export in the dedicated column ‘Validator’.

This improvement allows adapting the validation workflow to the organization specific to each employee.

Installation and activation

  • The installation or multiple activation of the Expense notes addon could create duplicates of certain metadata (e.g., number of nights). This problem has been fixed.

Adding an expense

  • A malfunction could occasionally prevent the conversion of documents to HEIC format, making it impossible to preview them. Error handling has been improved to prevent the document from being added in case of conversion failure and to avoid the appearance of unusable supporting documents in the application.
  • The mechanism for detecting duplicate expenses has been improved in order to reduce false positives and avoid that separate expenses are identified as duplicates.

Deletion of an expense

  • An error message could appear when deleting an expense, while it was indeed deleted in the background. The display has been corrected so that the expense immediately disappears from the list after deletion, without requiring manual refresh.
  • After sending an expense report, the status remained incorrectly ‘being sent’ despite the creation of the validation task. This behavior is now corrected: the status changes correctly to “sent” and the loading of the expense report is done normally.

Adding an expense

  • A problem could lead to an incorrect amount to be refunded when an expense was reallocated from one expense report to another. The amount calculation is now correctly updated in the interface and in the Excel export.
  • An issue could cause the creation of duplicate expenses when a user quickly left the NDF application and then returned. The behavior has been corrected to avoid these duplications in all fast browsing scenarios.
