Documents in error

In Open Bee™ Scan Capture there is a page dedicated to the management of files in error, it groups together documents that could not be absorbed and processed by Open Bee™ Scan Capture.

To access this page, go to “About“, “Maintenance” and then to the “Documents in error” tab.

In this interface, you will find the various documents with errors that cannot be processed normally by Open Bee™ Scan Capture.

Description of Columns

  • Identifier: This is the unique identifier of Open Bee™ Scan Capture. The checkbox can be in case the file does not exist in the database.
  • Date: The date the document tried to be absorbed by Open Bee™ Scan Capture. The checkbox can be in case the file does not exist in the database.
  • Source: Location of the document when it was attempted to be absorbed. In the case of Open Bee™ Portal, the name of the folder, preceded by “Open Bee™ Portal” is indicated.
  • File Name: The name of the file.
  • Error: Description of the error that caused the file to abort. Here are some common mistakes:
    • File does not exist in the database: The document is not present in the Open Bee™ Scan Capture database but is present in an error document folder managed by Open Bee™ Scan Capture
    • File extension is not supported: The document is not in the file format expected by Open Bee™ Scan Capture
    • OCR error on the file: the document could not be transposed to text. The document is potentially blank or unreadable
    • File Interpretation Error: The document cannot be interpreted. It is potentially password protected.

Actions

When documents arrive in this list, the actions that can be taken are limited:

  • Restart Interpretation: This action restarts processing the selected file. It is very useful for restarting documents that have been directly placed in the “in error” folder without being interpreted.
  • Save: This action allows you to retrieve the document from your computer to process it in a different way than with Open Bee™ Scan Capture.
  • Delete: This action cleans up the selected documents from the list. The information contained in Open Bee™ Scan Capture is deleted, along with the associated files in the Open Open Bee™ Scan Capture or Open Bee™ Portal folder
