Notes on Workflow Behavior

Some special features of the Open Bee™ Portal  workflow engine: 

  • The same folder cannot be monitored by two workflows.
  • Priorities in triggering workflows initialized by ” directory ” and by “Filing rules”: in case a document can trigger a workflow by “directory” and a workflow by “Filing rules”, it is the workflow by  “directory” that will be triggered.

The triggering of workflows enabled by the addition of documents to an Open Bee™ Portal folder therefore takes precedence over the triggering of workflows  enabled by the filing rule.

Example:

    • Workflow 1 is activated when filing documents in the “Supplier Invoices” folder
    • Workflow 2 is enabled when filing PDF documents.

When adding a PDF invoice to the “Vendor  Invoices”  folder, both workflows are eligible to process this document. 

In practice, it is workflow 1, triggered by the addition of a document in a “directory” that will be applied.

  • Moving a document that has already been processed by a workflow to a subfolder monitored by that workflow does not re-trigger the validation process.
  • For performance reasons, the following limitations apply:        –   a  maximum of 10 workflows can be created in Open Bee™ Portal        –   A maximum of  10 tasks/transitions can be created in a workflow
